Corrected FORDETRA Meeting Minutes

June 26, 2021

The meeting was called to order with prayer by Clarence (Keyhole) Clark. The meeting was held at St James Wright VFW in the downtown area of Hattiesburg, Mississippi.

Individuals present included: John L. Clayton, Lillie Easton, Douglas Fairley, Hollis L. Hall, Bettye Smith, Shirley Anderson, Patricia Lampley, Clarence Clark and Julia Ward.

The reading of the last meeting was omitted. Patricia Lampley passed out the financial report informing us of the beginning balance was $2,119.40; service charge was $28.00 (covered March, April, May and June, which is $7.00 per month) leaving a balance of $2,091.40).

The president called for old business. Hollis L. Hall reminded the group that we need new board members because two of the original 3 were now deceased. She further discussed that in order for us to apply for 501(c) 3 we needed to correct our record with the Mississippi Secretary of State’s office. Pat Lampley introduced the idea to select people from different classes to be board members. There was discussion about including people from different classes to become board members. The new board members include: John L. Clayton of Class of 1966, Clarence Clark of Class of 1973, Patricia Lampley of Class of 1975, Douglas Fairley of Class of 1972 and Lillie Easton of Class of 1971. Hollis, John L. and Pat will work to complete the updates in preparation for apply for 501(C) 3. Pat reported that when we receive 501(C) 3, we will no longer be required to pay the bank service fees. We will have our annual board meeting as required. Hollis agreed to be the secretary of the board so she will be able to complete our updates.

There were no committee reports.

Lillie discussed how the upkeep at Travillion did not compare to other schools in the district and she was invited to attend the next school board meeting to discuss the issue. The next school board meeting is scheduled for Tuesday, July 6, 2021.

The president called for old business. The suggested FORDETRA celebration dates are June 29 –July 3, 2022. The venue will be Earl Travillion Attendance Center. We will have registration on Thursday, June 30, 2022 and the activities will begin on Friday, July 1st. There was a brief discussion about teacher appreciation. She informed us that her class (Class of 1971) bought wings for this celebration because FORDETRA didn’t have a meeting to discuss the appreciation. We agreed to support teachers next year so Lillie made the motion to give money towards the celebration Doug seconded and John L. carried the motion. Pat asked about the Holiday Inn contract. John L. stated that everything (all venders will remain the same except we will be using ETAC instead of Holiday Inn), he said it would be good to go back home again, meaning returning to ETAC for all events.

There will not be a parade.

Some voiced concerns about EUROHA having their celebration at the same time FORDETRA. John L. said he will reach out to EUROHA president to discuss partnership or something but said Hattiesburg is big enough to accommodate both events.

There was discussion about a Fish fry as a fund raiser. Lillie asked if FORDETRA would be having a Christmas event so it was discussed to have some sort of fundraiser to help raise funds for a party.

John L. discussed Mayor Toby Barker will be having his after inauguration party on Tuesday, June 29th at the VFW and was expecting at least 100 guests.

Pat discussed sending out sympathy cards when there is a death. There was a brief discussion about sending sympathy cards and we all agreed that was a good idea.

Our next meeting is scheduled for Saturday, August 21, 2021 at 3:00 pm at the VFW post and the conference line will be available for those who are unable to make it to the face to face meeting. We were dismissed with prayer by Clarence (Keyhole) Clark.

Hollis L. Hall

Substitute Secretary
